Goal Arabian University is committed to the ethical and responsible use of all information technology resources. The goals of the Personnel Code of Ethics are to create a culture that promotes trust, commitment to responsibility, excellence, and institutional and personal integrity, while avoiding conflicts of interest and manifestations of inappropriate behavior. Arabian University will not tolerate illegal, dishonest, indecent or irresponsible use of privileged access to information systems that may have been granted to employees of intelligent transportation systems. Domain This policy applies to all Arabian University employees who may be granted access to legally sensitive, private, confidential or sensitive information while carrying out their job responsibilities. This includes direct access to employee workstations as well as elevated permissions on server and cloud systems. The third. Policy statement: In order to fulfill its mission of providing a robust set of technical tools and support to the Arabian University community, some Arabian University employees must be given privileged access to the Arabian University Information Systems that have been assigned their responsibility of maintenance and / or support. This access imposes on the employee an additional responsibility and obligation to use this privileged access in an ethical, professional, and legal manner within the duties of his authorized job. Arabian University will not tolerate illegal, dishonest, indecent, or irresponsible use of privileged access. In exchange for benefits granted, and as a condition of employment, ITS employees agree to adhere to all Arabian University policies. ITS personnel are expected to read and understand all ITS policies, standards, guidelines, and recommendations listed on the Arabian University Intelligent Transportation Systems Policy webpage. It is also the responsibility of ITS personnel to monitor the Arabian University ITS policy webpage for changes to these documents. Additionally, ITS employees must subscribe to The following phrases: • I will take all reasonable precautions to prevent unauthorized access to passwords, user IDs, or other information that may be used to access Arabian University information systems. • I will not personally obtain any restricted information if such access is not required in the course of my work, and I will limit access to information contained in the systems or obtained from authorized persons. • I will make all reasonable efforts to protect confidential information from unauthorized disclosure. • I will seek guidance from my supervisor or any other appropriate administrator when I am unsure of the correct decision regarding use, confidentiality or access, and will do so before taking any action to disclose potentially sensitive information. • I will abide by all licensing and copyright agreements entered into by Arabian University. • I will not attempt to access, change, change, amend, add or delete any record, report or information system, including audit trails and records outside of my job responsibilities. • I will promptly report any incidents of personal non-compliance or colleagues' non-compliance with the terms of this policy to the appropriate supervisor or administrator. • This policy applies to all information systems owned or operated by Arabian University and the information systems managed by third-party providers with whom Arabian University has contracted to provide such services. This includes desktop and laptop systems as well as centrally located servers and other systems and cloud-based services located off campus or at vendor premises. Compliance and penalties: Arabian University considers any violation of this policy a serious crime. Failure to comply or violate this policy will result in the violator being subject to disciplinary action up to and including dismissal from Arabian University. Additional legal action may be taken if any federal or state law is violated or if the violation leads to any legal action against Arabian University. Exceptions Exceptions can be granted in limited circumstances based on Arabian University's needs and based on the applicant's written justification. Professional behavior and professional behavior Arabian University expects all of its employees to adhere to the explicit standards of professionalism described throughout this document. Arabian University will not tolerate illegal, dishonest, improper, or irresponsible use of privileged access to information systems to which ITS employees may have been granted. SCOPE This policy applies to all Arabian University employees who may have been granted access to personal, private, confidential, or legally sensitive, information in the course of executing their job responsibilities. This includes direct access to employee workstations as well as elevated permissions on server and cloud­based systems. III. POLICY STATEMENT: In order to fulfill its mission of providing a robust set of technology tools and support for the Arabian University community, certain Arabian University ITS employees must be granted privileged access to the Arabian University’s information systems for which they are charged with the responsibility of maintenance and/or support. This access imposes upon the employee the additional responsibility and obligation to use that privileged access in an ethical, professional and legal manner that is strictly within her or his authorized job functions. Arabian University is committed to advancing the ethical and responsible use of all information technology resources. The goals of the Arabian University ITS Employee Code of Ethics are to create a culture that fosters trust and a commitment to responsibility, excellence, and institutional and personal integrity, while avoiding conflicts of interest and appearances of impropriety. Arabian University will not tolerate illegal, dishonest, improper, or irresponsible use of privileged access. In exchange for the privileges granted, and as a condition of employment, ITS employees agree to abide by all Arabian University policies. ITS employees are expected to read and understand all ITS policies, standards, guidelines and recommendations that are listed on the Arabian University ITS policy web page. It is also the responsibility of ITS staff to monitor the Arabian University ITS policy web page for changes to these documents. In addition, ITS employees must subscribe to the following statements: • I will take all reasonable precautions to prevent unauthorized access to passwords, user identifications, or other information that may be used to access Arabian University information systems. • I will not personally access any restricted information if such access is not required in the course of my job, and I will limit access to information contained in or obtained from the systems to authorized people. • I will use all reasonable efforts to protect confidential information from unauthorized disclosure. • I will seek guidance from a supervisor or other appropriate administrator whenever I am unsure of the correct decision regarding use, confidentiality, or access, and will do so BEFORE I take any action to release potentially sensitive information. • I will abide by all licensing and copyright agreements entered into by the Arabian University. • I will not attempt to access, alter, change, modify, add, or delete from any record, report or information system including audit trails and logs outside of the scope of my job responsibilities. • I will immediately report any incidents of personal non­compliance or the non­compliance of colleagues with the terms of this policy to my supervisor or an appropriate administrator. This policy applies to ALL information systems owned or operated by the Arabian University and to information systems operated by third party providers with which the Arabian University has contracted to provide such services. This includes desktop and laptop systems as well as servers, other centrally provided systems, and cloud based services located off campus or at vendor premises. COMPLIANCE AND SANCTIONS: Arabian University considers any violation of this policy to be a serious offense. Non­compliance or violation of this policy will subject the violator to disciplinary action up to and including dismissal from the Arabian University. Additional legal action may be taken if any federal or state law is violated or if the violation results in any legal action against the Arabian University. GOVERNANCE This policy will be updated by the Department of ITS. It will be approved by the CIO. EXCEPTIONS Exceptions can be granted in limited circumstances by the based upon the needs of the Arabian University and upon the requestor’s written justification. PROFESSIONALISM AND PROFESSIONAL CONDUCT Arabian University expects all administrators in its employ to conform to the explicit standards of professionalism defined in this document. Administrators who demonstrate behavior that does not comply with or that is inconsistent with the minimal standards of professionalism contained in this document may be subject to the range of disciplinary actions specified in the Arabian University's Progressive Discipline Policy. Scope The term 'professionalism' is used to describe adherence by administrative staff to an acceptable standard in the method, manner, and spirit in which they perform their duties. The professional conduct of administrative staff at George Brown Arabian University is assessed in five distinct areas of Arabian University activity: - management; - conflict resolution; - enactment of Arabian University priorities; - collective agreements; - public relations. - Adherence to Policies The expectations of the Arabian University with relation to each of these areas will be described in detail in the following sections of this document. The Arabian University also expects that administrative staff will: • familiarize themselves with Arabian University policies that are relevant to their responsibilities; • adhere to those policies to the best of their ability; • assist and encourage others to adhere to the policies, for example, by directing a student to the appropriate channels for appeal; • draw perceived problems with the policies to the attention of the Office of the Vice- President, Academic; • familiarize themselves with and adhere to the relevant provisions of Human Rights Codes; and • familiarize themselves with and adhere to the policies regarding Intellectual Property, and Academic Freedom. Unacceptable Behaviors Administrative staff will not use the workplace or online environment to: • use scurrilous, profane, or obscene language; • make remarks or engage in behavior that could reasonably be considered racist, sexist, or discriminatory according and will intervene if they witness such behavior; • engage in behavior or make remarks that could reasonably be interpreted as threatening • and will intervene if they witness such behavior; • intimidate any employee or student verbally, while they themselves strive actively to prevent others from engaging in such behavior; or • encourage, by inaction or innuendo, the development of an environment that is fractious, disrespectful of others, or intolerant of order and good manners; • promote their personal, religious, political, social, or business agendas In addition, administrators will avoid attempts to use their authority as managers or the reputation of the Arabian University to forward any personal or political agendas. MANAGEMENT General Expectations Administrative staff are expected to: • demonstrate courtesy and respect in all dealings with students, academic employees, and support staff; • be fully conversant with all aspects of the Arabian University's policies and procedures and will be prepared to implement them; • demonstrate their respect for the professionalism of faculty and support staff; • ensure that the work assigned to an employee meets the terms of the employee's job description and the collective agreements and that the duties are appropriate to the qualifications and skills of the employee; • give faculty and support staff who agree to accept assignments currently outside their qualifications and skills but within their expected potential a commitment to provide the time or training needed to successfully perform these assignments; • be clear and specific in communications with faculty and staff so that all concerned will know precisely what behavior is expected of them; • meet Arabian University deadlines for preparation of such items as standard workload forms, timetable profiles, and textbook ordering, as well as deadlines for submission of grades, timesheets to payroll, and budget data; • practice fiscal responsibility to ensure that all expenditures fall within budget and use common sense in the expenditure of Arabian University funds; • demonstrate support of the need for accurate class lists by supplying them in a timely fashion; and • establish and maintain co-operative and collegial relationships with other administrative staff members; • work diligently to ensure that the Arabian University provides faculty and staff with the tools needed to do their jobs and will act promptly to remedy such short-term deficiencies as equipment failures or classroom problems. • exercise caution in the expenditure of Arabian University funds and ensure that due process and fair bidding practices are observed. ENACTMENT OF Arabian University PRIORITIES Administrators will ensure that the priorities of the Arabian University are addressed. Administrative staff will: • clearly communicate these priorities to everyone in their department; • ensure that no activity in the department is running counter to those priorities; • articulate departmental goals that further those priorities; and • seek training in those areas where they are not equipped to meet the priorities of the Arabian University. COLLECTIVE AGREEMENTS Administrators will demonstrate their understanding that the terms of their relationships with faculty and staff in their departments are governed by the terms of the collective agreements into which the Arabian University has entered with faculty and support staff. Administrators must: • have a basic understanding of the terms of the collective agreements and seek counsel before taking action in areas of uncertainty • not knowingly subvert the intention of the collective agreements. Administrators understand that how they represent the Arabian University is vitally important to all members of the Arabian University community. Professionalism in the realm of public relations will be demonstrated by ensuring: • public statements are accurate, and • public statements do not misrepresent or distort the intentions of the Arabian University. Administrators are responsible for ensuring ensure that the required statistical data provided for external agencies providing funds is accurate. Administrators will avoid attempts to use their authority as managers or the reputation of the Arabian University to forward any personal or political agendas.
